Terms & Conditions
Privacy Policy
This policy explains what personal information we collect when you use the White Horse Clips website and online store, why we collect it, who sees it, and your rights under the Protection of Personal Information Act 4 of 2013 (POPIA). The responsible party is White Horse Clips (Pty) Ltd.
01What we collect
- When you order: your name, company name and delivery instructions (if you give them), email address, mobile number, delivery address, what you ordered, and whether you ticked the box to receive news and offers.
- When you write to us: your email address, and whatever you tell us.
- Payment: you pay on PayFast's own secure pages. We never see or store your card or bank details. We receive from PayFast the payment confirmation, amount and reference.
- When you browse the site: our website host records technical information such as your IP address, the pages requested and the time, in standard server logs used to keep the site secure and working. We do not use advertising cookies. We use Microsoft Clarity on our website pages (not at checkout) to see how pages are used; it records page interactions and sets cookies. You can block it in your browser.
02Why we collect it
- To process and deliver your order, and to tell you about its progress.
- To handle cancellations, returns, refunds and warranty claims.
- To answer your questions and complaints.
- To keep the accounting and tax records that the law requires.
- To keep our systems secure and to detect fraud.
- To send you news and offers by email, only if you ticked the box at checkout or otherwise asked us to. This is optional and is never a condition of buying.
We use your information only for these purposes. We send marketing only with your consent. You can withdraw it at any time by using the unsubscribe link in any marketing email, or by emailing info@whclips.co.za, and we then stop. We never sell or rent your information.
03Who sees it
We share only what is needed, with:
- PayFast, to take and refund payment.
- Our suppliers and the couriers that deliver your order, to supply and deliver it. They receive your name, delivery address and contact details.
- Our accountant, for the company's financial records.
- Service providers that host our website and the systems that process orders. These include Cloudflare (website hosting and order processing), GitHub (website files), Google (the fonts our pages use), Microsoft (Clarity, our page analytics) and Cloudinary (product images). When your browser loads a font or an image from them, they receive your IP address. Some of their servers are outside South Africa. We use providers that protect personal information to a standard comparable to POPIA, and we send them only what the service needs.
We may also disclose information when the law requires it.
04How long we keep it
Order and payment records are kept for as long as tax and company law require, which is currently five to seven years. Other messages are kept only as long as they are needed to resolve your question. When we no longer need information we delete or anonymise it.
05How we protect it
Card details are never on our systems. Our systems are protected by access control, encrypted connections and restricted credentials, and only people who need your information to fulfil your order can reach it. If we learn of a security compromise that affects your information, we tell you and the Information Regulator as POPIA requires.
06Your rights
You may ask us:
- what personal information we hold about you;
- to correct it if it is wrong;
- to delete it, where we do not have to keep it by law;
- to stop using it for a purpose you object to, including marketing, which you can withdraw at any time.
Email info@whclips.co.za and we answer within a reasonable time, normally within 30 days. We may need to confirm who you are first.
07Information Officer and complaints
Our Information Officer is J.C. du Preez, at info@whclips.co.za. If you are not satisfied with how we have handled your information, you may complain to the Information Regulator of South Africa. Complaints are lodged through the Regulator's eServices portal, described at inforegulator.org.za/complaints. General enquiries: enquiries@inforegulator.org.za, 010 023 5200.
